This Privacy Policy explains how Intuita Psychology Ltd (“we”, “us”, “our”) collects, uses and protects personal information when you use our website or commission independent educational psychology services. It is intended for parents/carers, young people (where appropriate), schools and other professionals.

We aim to follow UK data protection law, including the UK GDPR and the Data Protection Act 2018, and relevant professional standards (including HCPC expectations of confidentiality and record-keeping).

We work with children, young people, families and schools across London and the South West. Private practice work is provided independently through Intuita Psychology Ltd and is separate from any local authority employment.

What information we collect

Depending on how you contact us and what you commission, we may collect:

Website and enquiries

• Name and contact details (email; phone if you choose to provide one)

• Content of your enquiry (for example child’s age/year group, location/school, concerns, funding type)

• Technical data such as IP address, browser type and pages visited (if collected by our hosting provider or analytics tools)

Service delivery (assessment, consultation, school work, tribunal work)

• Identifiers and contact details for parents/carers and, where relevant, school staff

• Child/young person’s name, date of birth, year group, school and address (as needed)

• Background information from home and school (with consent where required)

• Assessment data, formulations, recommendations and reports

• Correspondence, booking details, invoices and payment records

• Special category data where necessary for psychological assessment and support (for example health, disability, education and developmental information)

We only ask for information that is relevant to responding to your enquiry or delivering the commissioned work.

Why we use your information (purposes and lawful bases)

We use personal information to:

• Respond to enquiries and provide quotes

• Deliver educational psychology assessment, consultation, school-commissioned work and tribunal-related work

• Produce written reports and recommendations

• Arrange appointments, feedback and follow-up

• Manage invoices, accounts and tax records

• Meet professional, safeguarding and legal obligations

• Improve and secure our website

• Contract processing needed to provide services you have asked us to provide

We treat case information as confidential. We do not sell personal data.

We may share information with:

• People or organisations you ask us to share with (for example a school SENCo), usually with your consent

• Professional supervisors or consultants in anonymised or minimally identifiable form where needed for safe practice

• Our IT/hosting providers, email provider and (where used) accounting tools, under appropriate arrangements

• Regulators or authorities where required by law

We may share information without consent where necessary to safeguard a child or young person, protect someone’s vital interests, or meet a legal requirement. Where possible and safe, we will explain this to you.

International transfers

Our website is hosted by Hostinger and email may be provided via Google Workspace. Some providers may process data outside the UK. Where that happens, we expect appropriate safeguards (such as UK adequacy decisions or standard contractual clauses) to be in place through those providers.
